In the PS Business Excellence Chapter, we support together all Pharmaceutical Sciences Chapters, Portfolio Squads, and Communities, enabling scientists to focus on science. Collaboration and flexibility, paired with a can-do attitude and a growth mindset, are critical for success in this team. You will partner closely with your Business Excellence colleagues to provide key operational support to around 550 colleagues in the Pharmaceutical Sciences organization. Our team’s success depends on working well with both people and technology, bringing the strengths of humans and AI together.

Within our Chapter, we enable the intersection of scientific understanding with business processes and operational skills. This approach enhances our ability to measure impact and resource investments, track progress, and make data-driven decisions using operational data for PS. An additional focus is to generate a positive impact on PS productivity with a sense of urgency and a commitment to continuous improvement.

The Opportunity

In this position, you will:

  • Support several chapters (organizational units), including managing and coordinating complex calendar tasks for PS Chapter Leads.
  • Organize large meetings, group trips, and events (workshops, forums, offsites).
  • Organize travel visas and congress attendances or meetings with external participants.
  • Organize job interviews across sites and assist new employees with induction programs, including the preparation of onboarding schedules.
  • Manage guest and visitor logistics.
  • Support Portfolio Squads and PS Governance meetings, including managing schedules and invitations, collecting preparatory materials, maintaining project- and resource management platforms and organizing documents in shared drives.
  • Manage work time correction requests from PS employees and analyze them on a quarterly basis.
  • Ensure continuous improvement by simplifying, harmonizing, automating, and digitizing processes across PS to increase productivity, leveraging technological advancements like AI in close collaboration with other chapter members.
  • Contribute to special projects and initiatives, such as the PS Process Improvement Community of Practice.
  • Foster collaborative partnerships among Administrative Professionals and the rest of the Chapter, promoting a one-team approach, and maintaining close interactions with the Administrative Networks across pRED and Roche.

Who you are

  • You hold a university degree or have successfully completed commercial training, and you bring 3+ years of experience as an assistant or in a comparable role.
  • You develop and apply a digital mindset to stay at the forefront of leveraging emerging technologies (e.g. AI, RPA). You continuously update your knowledge of the latest AI developments to enhance business processes and outcomes.
  • You demonstrate a commitment to continuous learning to stay relevant, especially in a fast-changing environment with ongoing technological advancements.
  • You exhibit curiosity and a willingness to learn and apply process improvement methodologies to enhance efficiency and effectiveness.
  • You create fit-for-purpose solutions and get things done with a “can-do” attitude, demonstrating strong problem-solving skills and the ability to adapt to changing circumstances.
  • You possess a strong track record of building collaborative relationships, with demonstrated influencing and networking skills, high emotional intelligence, and excellent interpersonal abilities.
  • You demonstrate a customer-centric mindset, able to radically simplify and prioritize for impact.
  • You embody a team-centric mindset that fosters a culture of expertise and best practice sharing.
  • You are proficient in Google Workspace, the MS Office suite, and other digital tools relevant for administrative work.
  • You are fluent in written and spoken English and German.
